Where printed water cups get used

Water cups are the quiet workhorse of offices and gyms. They sit stacked beside the cooler and get used dozens of times a day.

Event teams use them in far larger numbers. Fun runs, sports days, festivals and conferences all need water handed out quickly to a lot of people.

A printed cup turns that moment into a small piece of branding. Sponsors often pay for the cups at a race for exactly that reason. Their logo then appears in every finish line photo where a runner is drinking.

  • Office kitchens and water coolers
  • Gyms, studios and leisure centres
  • Race and fun run water stations
  • Conferences and trade show stands
  • Schools, clubs and sports days

Flat-bottomed cups or cones

The main choice is between a flat-bottomed cup and a cone. Cones suit tube dispensers and quick sips, but they cannot be put down.

Flat cups work better where people sit, train or chat. A gym user can set one on the floor between sets, and a delegate can carry one into a meeting.

If your cooler only takes cones, see our printed paper cone cups instead. Many offices order both for different rooms. The same artwork can be set up on each shape so they still match.

Picking the right size

Water cups are smaller than coffee cups because people refill rather than linger. A 7oz cup is the most common size beside a cooler.

Gyms often go up to 9oz so a member gets a decent drink between sets. Race water stations sometimes choose 4oz, since runners take a gulp and throw the cup.

Larger 12oz cups suit conferences where people take water back to their seats. Sizes beyond the usual 2oz to 20oz range can be quoted on request.

Why single wall is enough

Cold water does not need insulation, so a single wall cup is the normal choice. It is lighter, stacks tightly and takes up less storage space. That matters in a small office where cups share a cupboard with everything else.

Chilled water can form a little condensation on the outside of the cup. For most water uses that is not a problem, as the cup is held for a short time.

If you want to read more about wall types, our page on single wall paper cups explains how they differ from double and ripple wall.

Kraft single wall cups suit gyms and studios with a natural look. White single wall cups suit offices where the logo colours need to stay sharp.

Designs that suit water

Clean, light designs tend to look right on water cups. Blues, greens and simple line patterns suggest freshness without needing much text.

Offices usually print a logo once or twice around the cup. Events add the event name, the year and sometimes a sponsor mark.

Before sending files, you can try your logo on a real cup using our free cup design preview. It helps you judge size and spacing.

Leave some white space around the logo. A crowded water cup looks busy on a reception desk, while a clean one looks considered.

  • Logo repeated twice round the cup
  • Event name with year and sponsor
  • Simple wave or line pattern
  • Kraft cup with a one-colour mark

From artwork to delivery

Most water cup orders are simple, but each one follows the same short path. Nothing goes to print until you have signed off the proof.

If you have a race date or a conference opening, tell us at the start. We will check the timing against your date before you approve.

  1. Send your size, quantity and event date
  2. Upload a logo as AI, PDF, EPS, SVG, PNG or JPG
  3. Receive a free digital proof by email
  4. Request edits as often as you need
  5. Approve, then 4 to 6 working days of production
  6. Tracked delivery in 2 to 3 working days

Planning for a busy event

Event organisers tend to underestimate cups. People drink more on warm days, and they often take a fresh cup each time rather than reusing one.

Think about how many water points you have and how long the event runs. A long outdoor day will use far more cups than an evening indoors. Share the expected crowd size with us and we can talk through quantities on your quote.

Keep a few spare boxes in reserve. Running out of water cups halfway through a race is far worse than having some left over for the next one. Undated designs can simply be used at your next event.

Keeping a cooler area tidy

A stack of cups beside a cooler gets knocked, splashed and left half empty. A wall-mounted holder keeps the stack upright and the rims clean.

Put a bin within arm's reach of the cooler. People will use it if it is close, and the kitchen stays far tidier.

Refill the holder from a sealed sleeve rather than a loose pile. Cups that sit open on a worktop pick up dust and splashes before anyone drinks from them.

  • Wall holder at hand height
  • Bin within one step of the cooler
  • Refill from sealed sleeves
  • Spare sleeves kept in a dry cupboard

Mistakes to avoid

Ordering cups that are too large is a common slip at races. Runners only want a mouthful, and big cups get half thrown away.

Another is printing a date on cups meant for year-round office use. Keep dated artwork for one-off events.

Some buyers also forget to check that the cup fits their cooler holder. A quick measurement saves a lot of frustration. Finally, very dark full wrap designs can look heavy for water, so lighter colours usually read better.

Recycling and food-contact board

Many workplaces now ask how their cups will be recycled. Recyclable lining options are something we can quote on request.

Our page on recyclable paper cups covers the options in more detail. Collection rules differ between UK councils, so check with your own waste provider.

Food-contact board can also be specified for your water cups. Just mention it when you send your enquiry.

Cost and how to order

Paper Water Cups questions

What size paper cup is best for a water cooler?

A 7oz cup is the most common choice for office coolers. Gyms often prefer 9oz for a larger drink.

Can paper water cups stand on a desk?

Yes. Unlike cone cups, our water cups have a flat base and stand on any flat surface.

Do water cups need to be double wall?

No. Cold water does not need insulation, so a single wall cup is the usual choice.

Will chilled water make the cup soggy?

Water cups are lined to hold liquid. A little outside condensation can form with chilled water, which is normal.

Can you print race or event names on water cups?

Yes. Many events print the event name, year and sponsor logos on their water station cups.

What size works for a race water station?

Smaller 4oz cups suit runners who only want a quick mouthful. They are easy to grab and throw away.

Can I order kraft water cups?

Yes. Kraft board gives a natural brown look and works well with a simple one-colour logo.

How do I check my cooler holder size?

Measure the inside width of the holder or send us the cooler model. We will match the cup to it.

Can water cups be recycled?

We can quote recyclable lining options on request. Local collection rules vary across the UK.

How quickly can I get printed water cups?

Production takes 4 to 6 working days after you approve the proof. Tracked delivery follows in 2 to 3 working days.

Do you supply lids for water cups?

Most water cups are used without lids. If you need lids, tell us the cup size and we will advise on a fit.

What happens if my water cups arrive damaged?

Photograph the problem and tell us within 10 days. We reprint or refund any damaged or misprinted cups.

What are paper water cups?

Paper water cups are small, single wall cups made for cold tap or chilled water. Unlike cone cups they have a flat base, so they can be set down on a desk, a gym bench or a drinks table. We print them with your logo, pattern or event name.
